LIMRO Health Terms of Service and Privacy Policy

Privacy Policy
Effective date: September 29, 2026
This Privacy Policy explains how Limro Health LLC (“LIMRO,” “we”) collects, uses and protects information through limrohealth.com and the LIMRO compliance portal (the “Service”).
1. Two roles we play
- For our customers’ staff data, we act as a service provider. Our customer (the employer) decides what staff information to enter and why, and we process it only to provide the Service to that customer. Staff members with questions about their information should contact their employer first.
- For our own website visitors and customer contacts, we decide how the information is used, as described below.
2. Information we collect
| From | What | Why |
|---|---|---|
| Website visitors | Name, work email, organization, phone and message when you request a demo or join a waitlist | To reply and follow up about our services |
| Customer account users | Name, work email, role, password (stored as a secure hash), two-factor settings, sign-in times | To provide secure access |
| Customers (billing) | Organization name, billing contact, plan and staff count. Card details are entered directly with Stripe; we never see or store full card numbers | To bill for the Service |
| Customers (staff data) | Staff names, dates of birth where provided, NPI and license or credential numbers, job roles, locations, expiration dates, screening results and reviewer notes | To screen against exclusion lists, track credentials and keep an audit trail |
| Automatically | IP address, browser type and pages used in the portal, recorded in security and audit logs | To secure the Service and investigate problems |
We do not ask for, and customers must not enter, Social Security numbers or patient health information.
3. How we use information
We use information to provide, secure and support the Service; run screenings, alerts and reports; process payments; send service emails such as invitations, alerts, digests and billing notices; respond to inquiries; and meet legal obligations. We do not sell personal information, and we do not use customer staff data for advertising.
4. How screening works, and what leaves our system
We download the public exclusion lists (OIG LEIE, SAM.gov and state lists) to our own servers and compare staff records against them there. Staff information is not sent to those government agencies or to any screening vendor.
5. Who we share information with
We share information only with service providers that help us run the Service, under contracts that limit their use of it:
| Provider | Purpose |
|---|---|
| GoDaddy | Website and database hosting (United States) |
| Stripe | Payment processing |
| Resend | Sending service emails |
We may also disclose information if required by law or legal process, to protect the rights and safety of LIMRO, our customers or others, or as part of a merger or sale of the business, with notice to customers. Customers may connect their own systems to the Service through our API; data they pull that way is governed by their own policies.
6. Cookies
We use only the cookies needed to run the site and keep you signed in. Stripe sets its own cookies on its checkout pages to prevent fraud. We do not use advertising cookies. If we add website analytics later, we will update this policy first.
7. Security
We protect information with encrypted connections (HTTPS), required two-factor sign-in for customer users, role-based access within each organization, separation of each customer’s data, hashed API keys, and a tamper-evident audit log. No system is perfectly secure. If we learn of a security incident affecting customer data, we will notify affected customers without undue delay and as required by law.
8. Retention
We keep customer data while the subscription is active. After cancellation, customers can export their data for 30 days, and we then delete it from the live Service within 90 days, except audit and billing records we must keep for legal, tax or security reasons. Backups are overwritten on their normal schedule. Demo and waitlist inquiries are kept for up to 2 years unless you ask us to delete them sooner.
9. Your choices and rights
You may ask us to access, correct, export or delete information we hold about you by emailing scg@limrohealth.com. If the information was entered by your employer, we will refer your request to them or act on their instructions. You can unsubscribe from marketing emails at any time; service emails such as security and billing notices are part of the Service. Depending on where you live, you may have additional rights under state law, and we will honor them as required.
10. Children
The Service is for businesses and is not directed to anyone under 18.
11. Changes
We will post updates on this page with a new effective date, and we will email account admins about material changes.
